Creating A New Email:
If wanting to create a New Email, please follow the below steps and view the corresponding video:
- Click on New Message, name your new message draft, and click Create Draft.
- After selecting the email addresses you want to send this email to, click Next. Pay close attention to the recipient line on the top of the email. This will let you know if you have mistakenly targeted too many or too few people.
- On the Email Body HTML tab is where you will create and enter all the content of your email.
- The Preview Email tab gives you one last look at the content of your email, so you can proofread it before sending it.
- In the Send Email tab, you will want to make sure to fill in the following fields:
- From Name: will be set to the currently logged-in admin’s name. This can be changed to something like the club’s name for a general club email or the author's name for a personal letter.
- Reply To Email Address: the email will have a recipient if one of your members replies.
- Additional Recipients: If you want to add any last-minute recipients, then you can enter their email addresses here.
- Subject: Subject line for the email.
- Send on Date/Time: If you are sending a final and want to schedule for a future date/time, then you can set that here.
Images and Links in Your Email:
To add a Link to your Email, please follow the below steps and view the corresponding video:
- On the Email Body HTML tab, highlight the text or image that you want to turn into a link in your email.
- f you want to link to another site on the Internet or you know the direct URL of a page on your site that you want to link to, then click the Hyperlink Tool.
- A pop-up window will appear. Paste the URL into the URL field. Make sure you do not duplicate http://at the beginning.
- Click OK and the window will disappear. If you linked text, then it will be blue and underlined to signify that it is a link.
Inserting an Image:
To add an image to your Email, please follow the below steps and view the corresponding video:
- Inserting an image using the Local Images tool in the editor.
- Find and click the Local Images tool in the lower portion of the editor.
- In the window that opens ensure you are working in the correct microsite and then select the folder containing the image you wish to insert
- Finally, insert the image into the editor by clicking the image link in the (click to select) column.
- The image will appear in the editor where you can change its properties by right clicking the image, select Properties and then using the window that appears to change the size and other properties of the image. See the video below starting at 11 min 36 seconds for a description of the process for using the Local Images tool.
Additional content and links can be inserted into the editor using the Content Hyperlink tool.
- On the Email Body HTML tab (the editor), highlight the text or image that you want to turn into a link in your email.
- If you want to link to a piece of content from your site, then click the Content Hyperlink button in the bottom toolbar.
- A pop-up window will appear. Use the drop-down to select the type of content that you want to link. Depending on the type of content you select, new search fields will appear so you can find the right item to link.
- Once you have found the content, click either the name in the left column, or Link in the right column.
The pop-up window will close and if you linked text, then it will be blue and underlined to signify that it is a link.
